PTO Board Member Job Description

 

  1. President:
  • Preside at all meetings
  • Represent Black Elementary at the District level
  • Provide each new Board member or Chairperson with a copy of the By-Laws and a written job description.
  • Attend all monthly Board meetings
  • Assist Board members as needed

                                          

  1. Vice Presidents:

 

Membership:

  • In charge of the membership drive
  • Assist and provide directory information as needed for distribution
  • Confirm all Board, Committee Chairperson and Homeroom Coordinator positions are paid members of the PTO
  • Provide updates for paid Party Fees and Fifth Grade fees as requested
  • Provide PTO information on the bulletin board in the Mall Hall
  • Update Membership and Party Fee forms in August
  • Maintain supply of Membership packets to the school Registrar
  • Assist the President in planning a New Bearkat Orientation in the beginning of the school year for all new Black Elementary families and volunteers
  • Represent the PTO Board in assisting with the planning and participation of the Family Holiday Event
  • Coordinate new student/parent social functions when the events are held
  • Assist with communication between the PTO, school and the President as needed.
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

 

Fundraising:

  • Investigate options for the fundraisers, present to the Board for approval
  • Coordinate and oversee all activities regarding fundraising.
  • Present a budget of expected expenses and income.
  • Maintain accounting records throughout each fundraiser.
  • Complete all Fundraising Reports as stated in the CFISD PTO Guidelines
  • Confirm all vendors used by our PTO are CFISD approved vendors
  • Assist Minor Fundraising with all minor fundraising events
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

Cultural Arts:

  • Coordinate events and volunteers for cultural arts programs, field trips, field days, etc.
  • Collect orders and maintain the Birthday Wall
  • Schedule all events with the approval of the Principal or other designated staff member.
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

VIPS 1&2:                                  

  • Oversee volunteer needs at Black Elementary focusing on recruitment, training, placement, retention and recognition
  • Serve as the VIPS representative for the school
  • Plan and advertise the VIPS Breakfast
  • Organize the recruitment and selection of HRCs for all grades
  • Assist the President with the planning of the First Day packet assembly and all other First Day volunteer opportunities
  • Assist the President with HRC/Grade Liaison/Committee Chairperson meetings and materials
  • Stock the PTO with snacks for volunteers
  • Decorate bulletin board in the PTO to welcome volunteers
  • Gather information on “Teacher Favorites” and make available for parents (binder and website publication)
  • Attend monthly VIPS meetings at the District level and report useful information to the Board
  • Work with the school liaison to ensure that all volunteers are invited to the annual VIPS luncheon sponsored by the District
  • Prepare a packet with volunteering opportunities for Black Elementary families.
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

Secretary:

  • Give notice of meetings for the Bearkat Chat
  • Responsible for maintaining the PTO calendar on social media and PTO website
  • Responsible for any PTO correspondence as designated by the Board
  • Advise on matters of parliamentary procedure when requested
  • Compile and keep records, activities and achievements of the PTO
  • Make historical facts available upon request
  • Attend all monthly Board meetings
  • Attend all General PTO meeting
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Email meeting minutes to the Board from the previous meeting prior to the next meeting.
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

Treasurer:

  • Follow all aspects of the By-Laws in regards to finances
  • Develop an itemized budget for proposal to the Board and PTO
  • Receive and deposit all funds of the PTO
  • Keep accurate records or receipts of expenditures
  • Pay out funds in accordance with the approved budget in a timely manner
  • Present a current financial statement at the meetings of the PTO and Board
  • Provide current bank statement on a monthly basis to the auditor or auditing committee
  • Complete and oversee the completion of all state and federal tax forms as required by law
  • Have all accounts examined and verified by an auditor or auditing committee
  • Complete all required Finance Reports set forth by the District
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
  • Assist the President as needed
  • Supervise other committee Chairs as delegated by the President

 

Technology:

  • Find ways to use Technology to improve the Organizations operations such as outreach and in the community
  • Develop and maintain PTO website and media sites
  • Inform PTO Board and Committee Chairpersons about available technological resources available
  • Advise on digital security and privacy best practices
  • Maintain Google Docs for PTO documents
  • Contact for PTO postings from PTO members
  • Attend all monthly Board meetings
  • Attend all General PTO meetings
  • Submit a written annual report to the President to include plan of work completed, expenses, suggestions for the upcoming year
